Billing Clerk/ Service Coordinator

We are looking for a Billing Clerk/ Service Coordinator, who is looking for an exciting career with an industry leader that’s been in the business since 1929.

The Billing Clerk/ Service Coordinator will assist with the billing processes that ensure timely and accurate billing of customers; perform various clerical activities with billing/invoicing; and coordinate the needs of our customers through the intake of service calls. The incumbent will also recommend improvements to the billing/invoicing process; provide reports to management; resolve billing/invoicing discrepancies/errors; and schedule and dispatch technicians.

WHAT YOU’LL NEED FOR THE JOB:

Billing/Invoicing

  • Work side by side with other billing agents for daily invoicing as directed.
  • Review daily completed work orders.
  • Process work orders to invoice
  • Communicate with local vendors.

Dispatching

  • Receive and manage service calls from customers.
  • Communicate and understand the skills, strengths and weaknesses of the field technicians and assign them appropriately.
  • Debrief each call before dispatching the technician.
  • Contact the customer before dispatch.
  • Track and update the computerized dispatch board.

Customer Service

  • Resolving customer concerns and complaints in a timely, efficient and cost-effective manner.
  • Communicate professionally with customers via phone and/or email.
  • Service Contracts - Schedule service and preventative maintenance.
  • Assist the Service Manager when necessary for customer feedback or follow-up after customer work is completed.

WHAT WE’RE LOOKING FOR:

  • 2 years of office billing/customer service experience preferred.
  • Dispatch experience preferred.
  • Knowledge of plumbing or HVAC industries is a plus.
  • Ability to build and maintain positive relationships with customers and technicians.
  • Ability to learn scheduling/dispatching/billing software programs.
  • Excellent communication, organizational, and customer service skills.
  • Ability to work as part of a team in a fast-paced environment.
  • Perform other duties assigned.
